Templates

Every package that you see in your account Golova.ai , consists of its own set of templates. By clicking on the "Templates" button, we get access to all the templates of your profile with the ability to view and edit them.

Any template here is, in fact, an ordinary ready—made document, such as those that you draw up with a lawyer or accountant (invoice, contract, act, etc.), but at the same time certain places in this document are replaced by combinations of technical symbols - variables. Variables replace information unique to each individual project: the name of the project, the list of equipment and services, the figures of their cost, the amount of taxes, the names of companies and contractors, details, etc. When you generate a set of documents based on the package, the information that you entered earlier, working in the sections of this project and with your databases. At the output, we get a set of documents that already involve real numbers, dates and names, ready to be signed with the client, and to be provided as various types of reporting.

Creating a new template

If you need to use any of your documents as a standard document in the future, i.e. create a template based on it, you will need to do the following:

1) Replace in the electronic version of the source document all the unique information about the project to which it relates with variables.

The table of correspondence between the concepts used in the documentation and variables is located on the Templates/Add page. The replacement can be performed in any documentation file editor that works with the docx format (Microsoft Word, Yandex Documents, etc.);

2) Convert the resulting file to docx format

If the document already has this format, you can skip this point;

3) We upload the template obtained in this way to your account on the site Golova.io by clicking "Templates"/"Add"/"Choose file" sequentially;

4) On the same page, enter the name of the template being created, and fill in the fields that are responsible for how the name of the real document will be formed when generating on the basis of this template (that is, the name under which the new document will pass in the system) ("Prefix", "Numbering", "Division into versions", "Postfix", "Date"), as well as the fields forming the file name of this document (that is, the name that you will see when downloading the file) ("File name", "File name postfix");

5) Click on the "Add" button.

And a new template appears in the list.

Now, to be able to create documents based on it, you will either need to add this template to one of the existing packages, or create a new package with this template.
